10 Practical tips for designing a wellness space at your next event

When delegates find themselves immersed in the intensity of a conference schedule, the most valuable luxury might not be a front-row seat but finding a moment of silence. As ‘conference fatigue’ is recognised and acknowledges, including a dedicated wellness zone is moving from a perk into a necessity. Recharging in a quiet space isn’t about slowing down; it’s about refuelling so you can dive back into the action with total focus.

Here are a few things you can consider for your next event:

Designate a quiet, accessible space:

Choose a location that is easily accessible but tucked away from high-traffic, noisy areas. The space should be clearly marked but private enough to allow for genuine, undisturbed relaxation.

Use calming ambiance and lighting:

Transform the space with soft, warm lighting, such as fairy lights or dimmable lamps. Avoid harsh, overhead fluorescent lights to help lower stress levels.

Incorporate comfortable seating:

Provide ample, comfortable seating options, such as bean bags, floor cushions, or plush armchairs, inviting attendees to sit back and relax.

Create a ‘device-free’ zone:

Encourage a “no-phone” policy in this area. This allows attendees to disconnect from the constant flow of digital communication and re-center.

Utilise nature-inspired decor:

Use indoor plants, green, blue, or earthy colour palettes, and fresh floral arrangements to bring the outdoors in, helping to reduce stress and improve cognitive function.

Offer guided mindfulness activities:

Schedule short, drop-in sessions like guided meditation, yoga or breathwork exercises, which can quickly reduce stress and improve focus.

Provide passive relaxation tools:

Offer self-guided tools like adult colouring books, mindfulness journals, or aromatherapy diffusers for quiet, individual relaxation.

Include on-site wellness professionals:

If budgets allow, bring in experts for 10-15 minute, on-site treatments such as chair massages or reflexology, these are popular and provide effective ways to help attendees decompress.

Set up hydration stations:

Place water stations, including infused water (e.g. cucumber or lemon), within the space to promote hydration, preventing fatigue and maintaining energy levels.

Include active relaxation:

Offer gentle movement options such as yoga mats for stretching, or a low-intensity “walk and talk” area to help release tension from sitting.
