HQP Partner Day, The Welcome Centre, Coventry

The Brief

Hospice Quality Partnership (HQP) is a new client for the Compleat Team. We were approached to offer overall support and management of their annual HQP Partner Day which took place in Coventry. The brief was to facilitate a day providing opportunities to find out about social investment, address strategic business issues and encourage discussions around how HQP can deliver even more value. To attract in the region of 100 attendees,  including representatives from their suppliers (exhibitors).  The event needed to be professional but not Corporate.

The Compleat Solution

Our first task was to find an appropriate, cost effective venue, that would work with this event brief. HQP required a space large enough for their hospice partners and suppliers to interact in the same room. Having carried out an extensive venue search, we found The Welcome Centre in Coventry which had an auditorium with a built in stage and enough space for cabaret seating and supplier table top stands. The price quoted was over HQP’s budget so Compleat’s Conference Planner negotiated a reduced Day Delegate rate within budget, on their behalf.  Once this new pricing and the contract was agreed Compleat maintained continuous venue liaison managing all aspects of the event.

HQP released a ‘save the date’ and Compleat supported their marketing efforts to encourage their Partners to register. Bookings were processed through our online registration system and all event queries were managed in a timely and efficient manner.

Other support included detailed communication with attendees and suppliers, speaker management, badge production and on-site signage.  The Compleat team also managed registration on the day and welcomed delegates with our usual smiley faces.

The Result

Delegate numbers were the highest they have been for the HQP Partner Day and it was acknowledged by the client that there was a noticeable step up in delivery from previous years. The larger event space gave a grander feel and the stage lighting included in the day rate really enhanced the appearance without looking too lavish.

The day had a very positive buzz and feedback highlighted it had been well received by both HQP Partners and Suppliers.

The client was extremely happy with the service provided and we are delighted to be contracting with then again for 2020.
